How to Build and Maintain a DOT Driver Qualification File

A Driver Qualification File is a core part of a carrier safety program. The exact documents depend on the driver and operation, but carriers must be able to demonstrate that regulated drivers are properly qualified.   1. Create the driver file. Create a dedicated compliance file for every applicable driver before or at the required point of employment.
  2. Collect qualification documents. Collect the required application, license information, medical qualification documentation, and other applicable records.
  3. Complete required inquiries. Complete applicable prior-employer safety history and motor vehicle record checks.
  4. Track recurring requirements. Calendar annual reviews, MVR requirements, medical certification, license expiration, and other recurring items.
  5. Audit the file. Review the file periodically to identify missing, expired, or inconsistent documentation.
